Cancellation Policy

Cancellation Policy

At Travel With Daneev, every itinerary is intentionally designed and thoughtfully curated to provide a seamless and personalized travel experience. Because travel planning services involve extensive research, coordination, supplier communication, itinerary development, and ongoing client support, the following cancellation policies are in place to protect both the client experience and the time invested into each booking.

By submitting payment for services or moving forward with itinerary planning, clients acknowledge and agree to the policies outlined below.

1. Travel Planning Fees

Planning services may also include digital travel products, curated Signature Itineraries, destination guides, partial planning services, and elevated add-on services depending on the scope of the client’s selected package.

  • Additional services may include, but are not limited to:

  • Signature Itineraries

  • Pre-made destination guides

  • On-trip concierge support

  • Multi-destination coordination

  • Content and photo planning support

  • Luxury celebration enhancements

  • Rush planning services

  • Cruise planning support

  • Corporate and brand travel coordination

  • VIP itinerary customization

Digital travel products and itinerary purchases are considered fulfilled upon delivery and are therefore non-refundable once accessed, delivered, or sent electronically.

2. Signature Itineraries & Digital Products

Signature Itineraries are curated digital travel guides designed to provide professionally structured travel inspiration, destination recommendations, sample itineraries, accommodation suggestions, dining recommendations, and travel guidance.

These products are informational and planning-based only and do not include active booking management, reservation placement, supplier negotiation, real-time itinerary monitoring, or ongoing concierge support unless otherwise stated in writing.

Because Signature Itineraries are delivered digitally and become immediately accessible upon purchase, all sales are final and non-refundable.

Travel With Daneev reserves the right to update, modify, revise, rename, or discontinue digital itinerary products at any time without prior notice.

Purchased Signature Itineraries are licensed for personal, non-commercial use only and may not be reproduced, distributed, resold, copied, shared publicly, or commercially replicated in any format.

3. Client-Initiated Trip Cancellations

If a client chooses to cancel a trip after planning services have begun or bookings have been confirmed, cancellation requests must be submitted in writing via email.

Any refunds, credits, or penalties related to accommodations, airfare, cruises, excursions, transportation providers, or travel suppliers are subject solely to the cancellation terms and conditions of the individual supplier.

Travel With Daneev is not responsible for:

  • Supplier cancellation penalties

  • Non-refundable deposits

  • Airline fare restrictions

  • Expired travel credits

  • Vendor processing fees

  • Reservation change fees

  • Currency fluctuations

  • Supplier bankruptcy or operational closure

Clients acknowledge that some reservations, promotional fares, group contracts, cruises, villas, tours, and specialty bookings may be fully non-refundable at the time of booking.

4. Supplier Terms & Conditions

Travel With Daneev acts as an independent travel planner and advisor coordinating services through third-party suppliers including, but not limited to:

  • Hotels

  • Resorts

  • Airlines

  • Cruise lines

  • Tour operators

  • Transportation companies

  • Activity providers

  • Vacation rental companies

  • Hospitality vendors

Each supplier maintains its own:

  • cancellation policy

  • refund schedule

  • modification rules

  • payment deadlines

  • supplier terms and conditions

Clients are responsible for reviewing supplier policies prior to confirming bookings.

Travel With Daneev is not liable for supplier schedule changes, operational interruptions, overbookings, force majeure events, service failures, or vendor disputes.

5. Changes & Modifications

Requests for itinerary revisions, destination changes, additional travelers, date changes, or significant modifications after planning has begun may require additional planning fees depending on the scope and complexity of requested adjustments.

Examples of significant modifications include:

  • Changing destinations

  • Changing travel dates

  • Rebuilding an itinerary

  • Adding multiple travelers

  • Switching suppliers or accommodations

  • Rebooking canceled travel

  • Last-minute restructuring

Minor revisions may be accommodated at no additional cost at the discretion of Travel With Daneev.

Extensive modifications requiring substantial replanning may result in:

  • revised planning fees

  • additional research fees

  • rush planning fees

  • new service agreements

6. Rush Planning & Expedited Services

Rush planning services are subject to additional fees due to compressed planning timelines, expedited supplier coordination, priority scheduling, and accelerated itinerary development requirements.

Rush service fees are non-refundable once planning work has begun, regardless of whether travel is ultimately booked, modified, postponed, or canceled.

Availability for expedited services is not guaranteed and depends on destination availability, supplier response times, trip complexity, and current planning capacity.

7. Group Travel Policies

Group travel planning starts at $600 for up to 3 travelers, with an additional $150 per person beyond that. Bachelor and bachelorette trip planning starts at $800 for up to 5 people, with an additional $150 per person beyond that. Additional travelers for all group bookings, including bachelor and bachelorette trips, can be added directly at checkout using the Additional Traveler add-on. Group travel planning involves significantly increased coordination and communication. Group organizers are responsible for ensuring all travelers understand:

  • payment deadlines

  • cancellation terms

  • supplier policies

  • itinerary requirements

  • travel documentation requirements

Travel With Daneev is not responsible for:

  • traveler disputes

  • guest cancellations

  • roommate conflicts

  • missed payments by group participants

  • group member no-shows

  • participant-related booking changes

Group pricing, accommodations, and contracted rates may change if group size decreases after deposits or reservations have been secured.

Additional planning or coordination fees may apply for:

  • late participant additions

  • extensive group changes

  • separate payment arrangements

  • custom group coordination requests

8. Airfare Policies

Airfare pricing and availability are highly dynamic and subject to change until ticketed.

Unless otherwise specified, clients are responsible for reviewing and approving airfare selections before ticket issuance.

If Travel With Daneev processes flight bookings on behalf of a client, a signed credit card authorization form may be required prior to ticketing.

Travel With Daneev is not responsible for:

  • airline schedule changes

  • seat assignment changes

  • airline cancellations

  • baggage fees

  • missed connections

  • denied boarding

  • airline operational disruptions

  • airfare increases before ticketing

Many airfare bookings are non-refundable and may carry change penalties or airline-issued travel credits only.

9. Travel Insurance

Travel insurance is strongly recommended for all travelers.

Travel insurance may provide protection for:

  • trip cancellations

  • trip interruptions

  • medical emergencies

  • delayed travel

  • baggage loss

  • supplier disruptions

  • weather-related interruptions

  • emergency evacuations

Clients are responsible for reviewing policy coverage details and selecting a policy appropriate for their travel needs.

Declining travel insurance constitutes acknowledgment that the client accepts financial responsibility for any losses, disruptions, or cancellation costs that may occur.

Travel With Daneev is not an insurance provider and cannot guarantee coverage approval or reimbursement outcomes.

10. Passport, Visa & Entry Requirements

Clients are solely responsible for:

  • obtaining valid passports

  • securing visas

  • meeting destination entry requirements

  • understanding vaccination requirements

  • complying with customs regulations

  • reviewing government travel advisories

Travel With Daneev may provide general guidance or resources when possible; however, clients are responsible for independently verifying all documentation requirements with the appropriate government authorities.

Travel With Daneev is not responsible for denied boarding, denied entry, expired documentation, missing visas, or traveler non-compliance with international travel requirements.

11. Force Majeure

Travel With Daneev shall not be held liable for delays, interruptions, cancellations, losses, injuries, or changes caused by events beyond reasonable control, including but not limited to:

  • weather events

  • natural disasters

  • acts of terrorism

  • government restrictions

  • border closures

  • labor strikes

  • supplier insolvency

  • pandemics

  • civil unrest

  • transportation disruptions

  • public health emergencies

In such cases, all refunds, credits, and recovery options remain subject to supplier policies and travel insurance coverage.

12. Concierge & Add-On Services

Add-on services including concierge support, luxury celebration enhancements, content and photo planning assistance, transportation coordination, itinerary upgrades, pre-trip planning kits, and other elevated travel enhancements are subject to destination availability, supplier participation, and local operational capacity.

Travel With Daneev coordinates these services through independent third-party vendors and suppliers when applicable but does not directly operate, employ, or guarantee third-party vendor performance.

Certain add-on services may require additional deposits, vendor contracts, signed approvals, processing timelines, or destination-specific coordination requirements. Vendor-specific cancellation policies, timelines, and refund structures may apply separately depending on the requested service.

Clients acknowledge that some enhancement services — including room décor, celebration setups, private transportation, special event coordination, and custom destination requests — may involve third-party vendor markups, international coordination fees, or fluctuating destination pricing.

13. Chargebacks & Payment Disputes

This policy additionally applies to digital products, Signature Itineraries, downloadable travel guides, consultation services, rush planning services, and all delivered planning materials.

Because travel planning and itinerary development are professional time-based services, completed work products and delivered digital materials constitute fulfillment of services rendered.

Unauthorized distribution, reproduction, resale, or commercial use of purchased itineraries or planning materials may result in immediate termination of services and potential legal action.

14. Communication & Client Responsibility

Clients are responsible for:

  • reviewing all travel documents

  • confirming traveler names match passports exactly

  • reviewing reservation details

  • monitoring payment deadlines

  • responding to planning requests in a timely manner

Travel With Daneev is not responsible for errors caused by inaccurate information provided by the client.

Failure to respond to requests for approvals, payments, or confirmations may impact itinerary timelines, pricing, or reservation availability.

Clients scheduling discovery calls or consultations are required to complete the applicable client intake form no later than 48 hours prior to the scheduled appointment whenever requested.

Failure to submit required intake information within the requested timeframe may result in rescheduling of the consultation to ensure adequate preparation and a more personalized planning experience.

15. Acceptance of Terms

By paying a planning fee, submitting a travel inquiry, approving bookings, or continuing with services, clients acknowledge that they have read, understood, and agreed to the terms outlined within this Cancellation Policy.

For questions regarding cancellations, supplier policies, itinerary modifications, or travel support, clients are encouraged to contact Travel With Daneev directly. Open communication is always encouraged, and every effort will be made to provide guidance and support whenever possible.
